What Is a SWMS and Why Does It Matter?
A Safe Work Method Statement (SWMS) is a document that identifies the high-risk construction work involved in a task, the hazards associated with that work, and the control measures that will be implemented to manage those hazards. In Australia, the Work Health and Safety Regulations require that a SWMS is prepared before any high-risk construction work commences.
High-risk construction work includes activities such as working at heights, electrical work, working with powered mobile plant, work on or near pressurised gas or piped services, and work in confined spaces. For most trade and service businesses, SWMS are a legal requirement — not a formality.
The problem most businesses face is management. SWMS are created in Word documents, printed, signed on paper, and then filed — or not filed at all. When a regulator or auditor asks for evidence that workers reviewed and acknowledged the SWMS for a particular job, the paper trail is often incomplete or missing entirely.
How Hazidex SWMS Management Works
-
✦
Create SWMS in the system or upload existing documents Build SWMS directly in Hazidex using structured templates that include task steps, associated hazards, risk ratings, and control measures. Or upload your existing Word or PDF SWMS and store them centrally in the system.
-
✦
Assign SWMS to jobs and sites Link each SWMS to the relevant job, site, and task type. When a worker is assigned to a job that requires a specific SWMS, it appears in their task list automatically.
-
✦
Workers review and acknowledge on mobile Workers open the SWMS on their phone, read through the document, and submit their acknowledgement with a digital signature. The record — including the timestamp, the worker's identity, and the SWMS version — is stored immediately.
-
✦
Managers see acknowledgement status in real time The dashboard shows which workers have acknowledged the SWMS for each job. If a worker starts on site without completing the acknowledgement, the manager sees it immediately and can act before work begins.
-
✦
Complete audit trail, always accessible Every SWMS acknowledgement is stored with full traceability — who acknowledged it, when, on what device, and for which job. This evidence is searchable and exportable for regulatory inspections, insurance reviews, or ISO audits.
When a regulator asks whether your workers reviewed the SWMS before starting high-risk work, you can produce a timestamped, digitally-signed record in seconds — not search through a filing cabinet hoping the paper is still there.
SWMS Version Control
SWMS documents change. Legislation updates, new equipment, site conditions, or safety incidents may require a SWMS to be revised. When you update a SWMS in Hazidex, workers assigned to the relevant job are notified and required to re-acknowledge the updated version before continuing work.
Version history is maintained automatically. You can see which version of a SWMS each worker acknowledged and when. This is particularly important if a SWMS has been revised after an incident — the compliance record shows that workers were briefed on the updated procedures.
SWMS for Subcontractors
Managing SWMS for subcontractors is one of the most common compliance gaps in Australian construction and trade businesses. Subcontractors are often required to provide their own SWMS, but businesses struggle to collect, store, and evidence that they've been reviewed.
Hazidex handles subcontractor SWMS the same way it handles your own — they're uploaded, linked to the job, and workers acknowledge them on mobile. The audit trail is identical regardless of whether the worker is a direct employee or a subcontractor.

ISO 45001 and SWMS Compliance
ISO 45001 requires that organisations identify hazards and assess risks before work commences — and that controls are implemented and communicated to workers. SWMS are the primary mechanism for meeting this requirement in construction and trade environments.
Every SWMS acknowledgement in Hazidex contributes evidence to your ISO 45001 compliance position. When preparing for certification or an audit, the OQE report builder pulls this evidence into structured compliance reports automatically.
